Active Projects

The following is a short list of some of our current projects. 

The Office of Assessment & Analytics (AA)

Integration of Qualtrics and Engage

  • Currently we have integrations set up to pull data out of Qualtrics and Engage but the next thing to be done is to set up a feed to populate directories periodically in those systems. Essentially, we are trying to automate the process of populating directories to keep them up to date. 

Another project we have been working on is to make information such as admissions data, basic demographics, and student employee details available to AA in the Operational Data Store so they may access it in Tableau. 

Along with the previous projects for AA, we are also working on a Covid Tracing dashboard for the department. This effort involves first creating data sets that provide student and instructor contact lists based off of the course list of an individual student as well as their vaccination status. We will then work on building a dashboard to access this information for the department.

Athletics Department Budget Reporting

Working with Athletics Department to streamline and enhance access to budget reports.

Collibra Implementation

Bring metadata and business glossaries together in the data management tool, Collibra. The goal for many of these projects is to help data stewards answer the questions where is my data going and how is it being used? And for data consumers to better understand what data is available, and bring consistency to data analysis.

Graduate Subsidized Health Insurance Program (GSHIP)

The Graduate Subsidized Health Insurance Program (GSHIP) project exists to help coordinate financial accounting entries that track student fees, payroll deductions, and health insurance premiums for graduate students participating in the program. This reconciliation occurs twice a year, in the Spring and Fall semesters. To learn more about GSHIP, visit here. (ongoing)

Identify and Access Management

Supply student related data feed to assist IAM with provisioning and deprovision student access.

Jira Data Warehouse

Jira is how the Data Management and Analytics team and University Support Services track the various projects and tasks that are being worked on. We are in the process of creating a data warehouse to make better use of this data. This data warehouse will be used to better understand Jira data and the various aspects that are involved in creating and updating a Jira ticket. The data warehouse will be great for generating reports on the department and keep everyone up to date on what the department and other areas of University Support Services are doing.

Office of Admissions

 Facilitate and enhance Admissions Pipeline reporting and analysis via Tableau dashboards.

Office of Registrar

Enhance and replace common operation reports with Tableau dashboards.

Student Data Warehouse Reporting Using Web Intelligence (Webi)

We are constantly working on and updating reports through Web Intelligence. Our main focus recently has been setting up the Universe for Phase 2 Users so that they can access the appropriate data within their departments. Another focus has been updating the Metadata page on all reports to make sure all users understand the data that is being reported on. (ongoing)

 

Department Salesforce Integrations 

We have been working with multiple departments to integrate their data into Salesforce: 

  • Development Office 

The Development Office has asked us to help with the integration of Salesforce into their department. We have brought in two development office analysts to help with this integration. This issue involves validating interims, tables, fields and other aspects of integrating a new software. This integration will also allow the ability to download daily data from identified Salesforce objects to build predictive models as well as stream data from Salesforce whenever applicable. We will offer Data Engineering support to build predictive models for various Schools/Departments. 

  • School of Business 

We are working with the School of Business to create new architecture for the college's data and reporting environment, which will be done by converting current reporting software to Webi and Tableau and by moving data from the School of Business's internal storage to the Student Data Warehouse. Additionally, we are creating a data feed from PeopleSoft to Salesforce, which will be used to track student information. This change is designed to support the efficient use of resources and to obtain higher quality data than currently available. 

  • Office of Equal Opportunity & Affirmative Action 

We are currently working with OEO/AA to build new Tableau dashboards that will pull their data from multiple data sources and house it on one dashboard. This will give OEO/AA better access to their data, provide data that is accurate as of the day it is pulled, and provide more streamlined functionality in navigating through their data. 

  • University of Marketing & Communications (UMC) 

Previously the department was using Emma to send communications, however, after finding that this source wasn’t providing all necessary information, we started integrating their data into Salesforce, so that access to the full scope of information can be achieved to send out the most accurate communication.  

  • Pivot Center 

The Pivot Center has their own Salesforce instance which we are now working on integrating into the Student Data Warehouse. 

 

HR/Aux Engineering  

Development is being done on building a table for HR/Aux Engineering that will more accurately populate and track Space Management data. By doing so, this will allow more accuracy within the data.  

General Education 

In the process of working with General Education to reconcile information between what course information is contained in Kuali and the Student Data Warehouse environments. This reconciled data will then be presented in a Tableau dashboard for users. This dashboard will provide users accurate course code information which they can review and then make any internal system updates as needed based off of this reconciled data.   

 

SignalVine Integration 

A platform called SignalVine, which is being used by the College of Social & Behavioral Sciences (CSBS) and the College of Science, is being used to text students and connect them with their advisors. We are working on integrations that will send requested student populations to the directory and continue working on periodic updates from the departments. 

Office of Sponsored Projects 

We are working on compiling department data from multiple sources and integrating it into a new OSP Data Warehouse. From this data warehouse new Tableau dashboards will be created for the use of the department. At the moment we are finishing making updates to the newly created dashboards in response to feedback received from the department. 

 

University Chatbot Project 

Identifying and evaluating chatbots in the market that best fit for the University’s Chatbot needs.   

Institutional Advancement 

Building predictive models to support the University of Utah's fundraising efforts. The goal is to use analytics to help identify new funding opportunities and make data-driven decisions. Projects we have worked on include Major Gift Model and Modeled Target Gift Range for The College of Health, College of Engineering, School of Business, Marriott Library and Alumni Association. We are currently working on implementing these two models to the School of Medicine.  

We are currently working on some University wide models: Alumni Engagement and Donor Propensity. 


Past Projects

University Safety Department 

Worked with Public Safety to provide to them a dashboard with functionality that allows a user to access a search option that will verify by person name if an individual is a student, employee, or former employee/student of the University of Utah. 

IRIS (Institute for Research on Innovation & Science, University of Michigan) 

The University of Utah joined the Institute for Research on Innovation & Science (IRIS) in 2018. We submit award-specific data to IRIS semi-annually, in April and October of each year. IRIS provides member institutions with university-specific reports based on their data, highlighting the impacts of their research efforts and investments. 

Human Resources Payroll Transparency Reporting 

The University of Utah provides revenue and expense data quarterly and employee compensation data annually to transparent.utah.gov for academic programs, administration, and the hospitals and clinics. The quarterly revenue and expense data is provided by Financial and Business Services. The annual employee compensation data is provided by Human Resources. This project streamlines the annual employee compensation reporting generated by Human Resources.

Kuali Data for Assessment Visualizer Project 

We built a data ingestion pipeline from Kuali Curriculum Management tool for the University Teaching and Learning Technologies (TLT) department, who are building an “Assessment Visualizer Tool.” Maintenance and additional data is continuously being provided as enhancements to this project.  

Social Media Analytics 

Built a data pipeline and reporting dashboard that will analyze specific hashtags relevant to the University, across platforms such as Twitter, TikTok, and Instagram.  

Assessment & Analytics

First Destination Dashboard

  • The First Destination Dashboard takes career plans and pathway information from a set of surveys taken shortly before a student graduates, three months after they’ve graduated, and then six months after they’ve graduated. This dashboard organizes that information for a visual look at how well a student’s degree has prepared them for their desired career.

Public First Destination Dashboards

  • While the First Destination Dashboard is strictly for internal use, the six Public First Destination Dashboards can be found on the Career & Professional Development Center’s “Who Hires U of U Grads" page. Unofficial report, these are for student use, as a resource to see potential post-graduation outcomes. Tracked data includes “Full-time Employment Salary,” “Career Outcomes by Organization,” and “Internship Placements.”

The Graduate Survey Dashboard

  • This dashboard looks at a survey of graduated students – both undergraduate and graduate – looking back at their academic career and their experiences at the University of Utah. This helps the University look at what factors helped students succeed, allowing them to make recommendations regarding budget allocation.

Continuing Education & Community Engagement

We worked with Continuing Education & Community Engagement to give them better access to data by moving the required data from PeopleSoft to the University's Operation Data Store (ODS). This data will be used to create dashboards for analytical purposes.

Marketing & Communications

The University Marketing & Communications department utilizes InfusionSoft software to maintain a contacts database that is used to send emails and target customers. There were some cases where the contacts data was wrong/outdated. We provided a permanent solution that will pull the correct data from the PeopleSoft system into the InfusionSoft software so the contacts database will always have correct and current information. The data from InfusionSoft is integrated into the ODS (BIPR Database), which can be used to perform any reporting in the future.

Office of the Registrar

Civitas Data Integration Project

  • The project involved delivering PeopleSoft data from key student tables to the Vendor’s schema on the BIPR Database. The data is delivered using Informatica mappings and workflows. PeopleSoft tables, which do not use effective dating, have validations in the workflows to look for Inserts, Updates, and Deletes (marked) in the final data. 

Canvas Data Warehouse

The newly-built Canvas Data Warehouse draws its data from Canvas. This integration is done using RESTful Canvas Data API, which pulls data from Canvas, separates it, and stores it in UIT Transfer Server. From there, ETL Tool picks up the files, reads the data, and populates the Canvas Data Warehouse with the appropriate facts and dimensions. With this new data warehouse, users will be able to analyze and report on students’ Canvas data using Tableau and other data science tools. Further enhancements are continuously being made.

Marketing and Communications

My Emma is an application that helps businesses create professional targeted marketing emails. Emma works using accounts, with a parent account managing sub accounts, each of which has different audiences (aka members). What we are doing includes helping to maintain members based on data in PeopleSoft, update any changes in an active member, add members into certain groups to be email-targeted collectively, and manage emails of members which bounce into "error" status, to name a few.

Space Management

Space Management is the system of records for location information. It was found that location information is widely spread throughout the University, so we finished up working on establishing a link between Space Management and Data Management and Analytics to aid in keeping our location data in sync with PeopleSoft and other systems. 

OBIA (Office of Budget Intelligence & Institutional Analysis)

We are beginning work on replacing the SQR feed that is used to report faculty and HR data to groups such as AAUP, Barron’s, and IPEDS. (completed)

Operational Datastore Enhancement

  • Erica Researched Data feed in conjunction with UIT Strategic Planning & Communication
  • Improved access to staged PeopleSoft tables
  • Numerous feeds to support University response to the COVID-19 pandemic
